Executive Assistant

Job Description

The company is looking for a highly organized and proactive individual to take on a dual role, providing executive support to C-Level personnel while also managing office operations in Limassol. This position demands a dynamic professional capable of seamlessly balancing executive assistance with overseeing the office environment, ensuring it remains productive and efficient. 

Roles & Responsibilities:   

  • Deliver comprehensive administrative assistance to the executive team, covering tasks such as managing calendars, coordinating travel, organizing meetings, and handling expense reports. 
  • Serve as the main liaison between executives and both internal and external stakeholders, ensuring communication is managed with utmost discretion and professionalism. 
  • Schedule and coordinate meetings, prepare agendas, follow up with stakeholders on project timelines, and document meeting minutes. 
  • Support the planning and execution of various projects, ensuring adherence to deadlines and the completion of deliverables. 
  • Prepare, review, and organize documents, presentations, and reports for executive consideration. 
  • Ensure efficient day-to-day office operations, including managing office supplies, overseeing equipment maintenance, and maintaining vendor relationships. 
  • Coordinate office maintenance and repairs, liaising with building management when necessary. 
  • Manage office budgets, monitor expenses, and ensure cost-effective operations. 
  • Organize company events, meetings, and conferences, handling all logistical aspects seamlessly. 
  • Assist in the recruitment and onboarding of new employees, manage office policies, and maintain accurate employee records. 
  • Undertake additional tasks as required on an ad-hoc basis. 

Expectations & Requirements:   

  • Prior experience in a multinational corporate environment is essential. 
  • Fluency in both English and Greek is required, at either a native or fluent level. 
  • Demonstrates excellent written and verbal communication skills. 
  • A Bachelor’s degree in Business Administration, Management, or a related discipline is advantageous. 
  • Possesses outstanding organizational skills and the ability to manage multiple tasks simultaneously. 
  • Proficiency in Microsoft Office Suite is necessary. 
  • Strong problem-solving abilities, with a knack for anticipating needs, thinking critically, and proactively offering solutions. 
  • Exhibits excellent time management skills, consistently meeting deadlines. 
  • Maintains a high degree of professionalism and confidentiality at all times.
